Refund & Cancellation Policy

This Refund & Cancellation Policy explains how billing, cancellations, and refunds work for GalaDesk subscriptions. GalaDesk is built for event pros and the teams they manage. By subscribing to a paid plan, you agree to the terms outlined below, together with our Terms of Service and Privacy Policy.
1. Subscription Overview
GalaDesk offers four subscription tiers, available on monthly or annual billing:
- Solo — $29/month or $290/year (approximately 2 months free), designed for solo pros with no seat minimum.
- Starter — $59/month or $590/year. Includes 5 admin seats; additional admins billed at $12/admin/month. Unlimited free contractors.
- Team — $129/month or $1,290/year. Includes 10 admin seats; additional admins billed at $10/admin/month. Unlimited free contractors.
- Business — $299/month or $2,990/year. Includes 25 admin seats; additional admins billed at $8/admin/month. Unlimited free contractors.
- Enterprise — custom pricing, negotiated with our sales team.
Annual plans are charged upfront for a 12-month term. Current pricing is listed on our pricing page.
2. Free Trial
Solo, Starter, and Business plans include a 30-day free trial. Enterprise trials are arranged directly with our sales team. During the trial period, you have full access to the plan's features at no charge.
No credit card is required to start a trial. You will not be charged unless you explicitly add a payment method and convert to a paid plan. Trials do not auto-convert to paid subscriptions — your payment method must be captured and confirmed before any charge occurs.
3. Cancellation
3.1 How to Cancel
You can cancel your subscription at any time from your account settings (Organization → Billing). No phone call or email is required — cancellation is entirely self-service.
3.2 Effect of Cancellation
When you cancel, your subscription remains active until the end of your current billing period. You will continue to have access to all paid features until that date. After the billing period ends, workspace access is locked and you will be prompted to re-subscribe on your next sign-in.
Your data is retained while access is locked and is not deleted upon cancellation. You can re-subscribe at any time to regain full access to paid features. For data retention and deletion details, see our Privacy Policy.
4. Refund Policy
4.1 Monthly Subscriptions
Monthly subscriptions are generally non-refundable. Since you can cancel at any time and continue using the service until the end of your billing period, partial-month refunds are not provided except as described in the sections below.
4.2 First-Week Goodwill Refund (Starter and Business)
If you convert from trial to a paid Starter or Business subscription — monthly or annual — and contact us within 7 days of your first paid charge to request a refund, we will refund the initial payment in full, minus any usage fees for events, travel-pay reports, or exports generated during that period. This goodwill window applies only to the first paid billing cycle and is not available for subsequent renewals.
4.3 Annual Subscriptions
Annual plans are charged upfront for a 12-month term. Because you are paying for a longer period in advance, annual plans have a dedicated refund window and proration rules:
- 14-day full refund. You may request a full refund of your annual charge within 14 days of the date the annual payment was processed, for any reason. Refunds are issued to the original payment method.
- Prorated refund after 14 days. After the 14-day window, we will refund the value of the unused whole months remaining on the term, minus a 10% early-termination administrative fee applied to the refunded portion. Partial months are not pro-rated. For example, if you cancel 5 months into a 12-month term, we refund 7 unused months (at the effective monthly rate you paid), minus 10%.
- Downgrade to monthly mid-term. If you switch from annual to monthly billing during an annual term, the unused portion of your annual charge is credited to your account and applied to subsequent monthly charges until the credit is exhausted. No cash refund is issued for a cadence switch; the remaining balance stays with the subscription.
- Seat reductions mid-term. Annual plans remain subject to the seat minimums described in Section 6. If you remove seats during an annual term and remain above the tier minimum, the reduction takes effect at the next annual renewal; no mid-term refund is issued for removed seats.
- Renewal charges. Annual plans do not auto-renew into a different cadence. If an annual term expires and you renew to another annual term or switch to monthly, the refund windows above reset for the new charge.
4.4 Trial-to-Paid Conversions
Because we do not auto-convert trials and require explicit payment capture, accidental charges after a trial should be rare. If you believe you were charged in error after a trial, contact us at daniel@galadesk.com within 7 days of the charge and we will review your account and process a refund where appropriate.
4.5 Exceptional Circumstances
We review refund requests on a case-by-case basis for situations such as:
- Extended service outages that materially impacted your use of the platform
- Duplicate or erroneous charges
- Billing errors caused by our system

5. Downgrades & Plan Changes
You can downgrade to a lower-tier plan at any time. For monthly plans, the downgrade takes effect at the start of your next billing cycle. You will retain access to your current plan's features until then. No partial refund is provided for the remaining time on the higher-tier plan.
For annual plans, tier downgrades take effect at the next annual renewal. If you need to downgrade mid-term, contact us and we will review the request under Section 4.3 (Annual Subscriptions).
If you upgrade to a higher-tier plan mid-cycle, you will be charged a prorated amount for the remainder of the current billing period. For annual plans, mid-term upgrades are prorated against the remaining months of the annual term.
6. Seat Adjustments
When you add seats, you are charged a prorated amount for the remainder of the current billing cycle (monthly or annual). When you remove seats, the reduction takes effect at the start of your next billing cycle. No refund is issued for removed seats during the current period. Starter and Business subscriptions remain subject to their tier flat monthly base price plus any admin overage. Adding or removing contractors does not affect the bill (contractors are always free). Adding admin seats above your plan's included count triggers prorated overage charges immediately.
7. How Refunds Are Processed
Approved refunds are processed via Stripe to the original payment method and typically appear on your statement within 5 to 10 business days, depending on your financial institution.
Refund amounts are calculated based on the net amount charged, excluding applicable taxes. Tax refunds (if any) are handled by the relevant tax authority in accordance with local law.
8. Chargebacks & Payment Disputes
Before initiating a chargeback or payment dispute with your bank or card issuer, please contact us at daniel@galadesk.com to resolve the issue directly. Most refund concerns — including disputes over monthly or annual charges — can be addressed within a few business days.
Filing a chargeback without first contacting us may result in account termination and may be pursued as a breach of our Terms of Service. This applies equally to monthly and annual charges. We take chargeback abuse seriously, as it incurs processing fees and can affect our merchant standing with Stripe.
9. Account Deletion
If you delete your account, your subscription is cancelled immediately. Refund eligibility follows the same rules outlined above. Data deletion is handled per our Privacy Policy.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or in-app notice at least 30 days in advance. Your continued use of the service after the effective date constitutes acceptance of the updated policy. This policy should be read together with our Terms of Service and Privacy Policy.
